Mindflight7 Enterprise XR/VR Experiences – Terms and Conditions
When running a virtual reality (VR) session for a team in your workplace, it's important to establish clear terms and conditions to ensure safety, smooth operation, and clarity on responsibilities. Mindflight7’s terms and conditions include:
1. Eligibility and Participation
1.1 Team Size
The session is designed for up to 75 participants. Additional participants may incur extra charges and require prior approval.
1.2 Age Requirement
Participants must be at least 16 years old (or 12 with parental/guardian consent) to take part in the VR experience.
1.3 Health Considerations
Participants should be in good health, with no known conditions that could be aggravated by VR, such as epilepsy, heart conditions, or severe motion sickness.
1.4 Informed Consent
Participants may be required to read and sign a consent form acknowledging the potential risks associated with certain VR experiences. This will be communicated in advance if necessary.
2. Booking and Cancellation
2.1 Booking Process
Sessions must be booked using the designated online form, with all required information provided.
2.2 Cancellation Policy
Cancellations or rescheduling must be made at least 7 days in advance. Late cancellations may incur a fee.
2.3 Session Timing
The session will last for 60 minutes, excluding set-up and take-down times. The session will begin and end promptly at the scheduled times.
2.4 Associated Travel Expenses
Any associated travel expenses incurred by Mindflight7 will be discussed and agreed upon prior to the engagement and will be billed separately. These expenses may include, but are not limited to, transportation, accommodation, meals, and other necessary out-of-pocket expenses.
3. Technical Requirements
3.1 Space Requirements
The workplace must provide a clear, open space of at least 50 square meters (ideally 4 square meters per participant) for the VR equipment setup.
3.2 Electrical Outlets
A minimum of 2 electrical outlets should be available within close proximity to the setup area.
3.3 Internet Connection
A stable internet connection may be required for certain Mindflight7 VR experiences; this will be communicated in advance if necessary.
4. Safety and Liability
4.1 Participant Responsibility
Participants must follow all instructions provided by the Mindflight7 VR facilitators to ensure their own safety and the safety of others.
4.2 Liability Waiver
The employer and participants agree to waive and release Mindflight7 from any potential claims related to any injuries or adverse effects resulting from the VR experiences.
4.3 Damage to Equipment
Any damage to the Mindflight7 VR equipment caused by negligence or misuse may be charged to the organisation hosting the session.
5. Facilitation and Conduct
5.1 Facilitator Role
Trained Mindflight7 facilitator(s) will guide the session, including setting up the equipment, explaining the experience, and assisting participants.
5.2 Participant Conduct
Participants are expected to behave respectfully and responsibly. Disruptive or unsafe behaviour may result in the termination of the session without a refund.
5.3 Confidentiality
Any sensitive information or data shared during the session will be treated as confidential and not disclosed to third parties.
6. Photography and Marketing
6.1 Photographs
Mindflight7 will take photos of participants during the session for marketing purposes. By participating in the session, participants consent to being photographed.
6.2 Use of Photos
These photos may be used in promotional materials, including but not limited to, social media, websites, and brochures.
6.3 Opt-Out Option
Participants who do not wish to be photographed must inform Mindflight7 before the session begins.
7. Feedback and Follow-up
7.1 Post-Session Survey
Participants may be asked to complete a brief survey after the session to provide feedback on their Mindflight7 VR experience.
7.2 Future Communication
By participating, the organisation consents to receive follow-up communications related to the Mindflight7 VR session and future VR opportunities, with the option to opt-out.
8. Force Majeure
8.1 Unforeseen Circumstances
Mindflight7 is not liable for any delays or cancellations due to circumstances beyond their control, such as natural disasters, power outages, or other emergencies.
9. Governing Law
9.1 Jurisdiction
These terms and conditions are governed by the laws of State of Victoria, Australia, and any disputes arising from them will be subject to the exclusive jurisdiction of the courts in that location.
10. Amendments
10.1 Changes to Terms
Mindflight7 reserves the right to amend these terms and conditions at any time, with notice provided to the organisation prior to the session.
